Plan the week before adding more work.

Start with the same weekly hours for each member, then subtract the team’s total time off for that week once. Confirmed hours reduce the main result. Tentative hours appear separately so you can compare what happens if possible work becomes confirmed. Utilization divides allocated hours by available hours. A negative balance shows more work than the available hours; a zero available-hours week has no utilization percentage. This aggregate calculation does not check individual schedules or overlapping allocations.

Available hours = members × weekly hours − time off. Remaining hours = available hours − confirmed work.

Worked example

Four members with a possible new project

Illustrative hours for one week, not a staffing recommendation.

  1. 4 members × 40 weekly hours = 160 total hours.
  2. 160 hours − 16 hours of time off = 144 available hours.
  3. 144 available hours − 112 confirmed hours = 32 hours remaining.
  4. Adding 24 tentative hours leaves 8 hours in the tentative scenario.

Confirmed utilization is about 77.78%. If all tentative work is confirmed, utilization becomes about 94.44%. These totals do not show whether one specific person is overloaded.

Common questions

Do I need PyME to use this calculator?

No. This public calculator is free and does not require an account. Saving and managing a team staffing schedule in Mantuno Resourcing is a separate PyME-only web feature. Individual and Pro do not include Resourcing.

What if team members work different hours?

Use the team’s average weekly hours per member to estimate the total, or calculate each group with the same hours separately. Review individual workweeks and project dates in your staffing plan before assigning work.

Should tentative work reduce confirmed availability?

This calculator keeps it separate. The main result subtracts only confirmed work; the tentative scenario subtracts both confirmed and tentative hours. Enter each planned hour once.

Are these payroll, leave, or actual time records?

No. These are planning totals you enter for one week. They do not approve time off, establish leave rights, calculate pay, measure employee performance, or prove that work occurred. The calculator does not save a staffing schedule.

Plan the people behind your projects.

Compare Mantuno plans for work and team management. Resourcing is included only in PyME on the web.
